Mac clipboard manager for support replies: verify the paste
A saved reply is useful only when its text, source, customer, and destination are still correct at send time.
The short answer: keep customer context in the ticket. Use pins only for customer-free templates. Before sending, copy the approved reply, paste into a blank local document, compare it with its source, and confirm the destination. Inspect the current Clipboard, Spotlight history, TeenyClip history, and TeenyClip pins as separate stores.
TeenyClip is my clipboard manager, so the bias is plain. It can make reusable text easier to find. It cannot tell whether an old reply is still approved, whether the active ticket is the same customer, or whether another clipboard store contains sensitive text.

Know which store owns the text

01Keep approval and customer context in the ticket
Start with the current ticket, not clipboard history. Confirm the customer, issue state, approved response, assignee, and destination. A saved reply can be accurate for one product version and wrong for the next.
Separate the customer-free template from its variables. A pin can say, "Please send the app version, macOS version, and shortest reproduction steps." The customer's name, license key, private account URL, invoice, or incident detail belongs in the ticket.

02Verify the current paste before opening the customer channel
Copy the approved text from its source, then paste into a blank local document. Compare the full link target, command, version number, and placeholders. Read the destination customer and ticket again before sending.
This test proves only the current Clipboard. It does not prove that older sensitive text is absent from Spotlight history or TeenyClip, so do not open a clipboard panel while sharing until each visible store has been reviewed.
For live chat, use a harmless test message in the scratch document rather than the customer channel. A clipboard manager reduces recovery time after an overwrite; it does not add an undo button to a sent reply.
03Treat Spotlight and TeenyClip as separate histories
When Clipboard Search is enabled, macOS can show clipboard history in Spotlight. Apple documents Command-Space followed by Command-4 to open it, plus a Clear History control. That history is independent of TeenyClip.
TeenyClip's current Swift source polls NSPasteboard every 0.5 seconds and can store text, URLs, files, images, and rich text. It keeps pinned items separate from unpinned history. Its Clear All History action deletes unpinned items and preserves pins.
Clearing Spotlight history does not clear TeenyClip. Clearing TeenyClip history does not clear Spotlight or TeenyClip pins. Test and clean the current Clipboard, Spotlight, unpinned TeenyClip history, and TeenyClip pins separately.
04Use exclusions as a capture boundary, not cleanup
TeenyClip settings can ignore clipboard changes while selected apps are frontmost. The source stores excluded bundle IDs and applies a two-second grace period after an excluded app loses focus. That grace protects against a delayed poll after a fast app switch.
Add password managers, Keychain Access, finance tools, production terminals, support dashboards, and customer-record apps. Exclusions do not remove material captured earlier, do not govern Spotlight history, and do not replace the source system's access controls.
Test exclusions with harmless sample text. Copy it in the excluded app, switch away, wait longer than the grace period, and inspect TeenyClip privately. Do not use a real token or customer record as the test.
05Close the loop after sending
Record the sent reply and next owner in the ticket. Remove customer-specific text from the current Clipboard, Spotlight history, and TeenyClip history according to your retention policy. Review pins separately.
If the wording changed, update the approved source before changing the pin. That keeps the ticket or public documentation authoritative and prevents multiple agents from maintaining slightly different clipboard templates.

Is Spotlight clipboard history the same as TeenyClip history?
No. Spotlight clipboard history and TeenyClip are separate stores with separate controls. The current Clipboard is separate again, and TeenyClip also separates pinned items from unpinned history.
Does clearing TeenyClip history delete pins?
No. TeenyClip's Clear All History action deletes unpinned history while preserving pins. Review and delete stale pins separately, then inspect Spotlight clipboard history on its own.
